Client Notification

Double check the Event in EZGo and make sure the expiration date, delivery date and price list are correct.

  1. In EZGo go to the Event Link
  2. Select your event
  3. Select the “Send Email” Button
  4. Select the template “Gallery Notification”
  5. You may edit this email if desired.
  6. Click Send
    1. This sends an email to all the galleries that have images in them.
    2. To see emails that were sent- in EZGo select the “Sent Email Log”
    3. Login to Mailchimp,  login: melissa@spoiledrottenphotography.com   pw:  SRPmail01!, go to outbound activity to see individual emails that were sent.

Print “portraits are ready” notification sheets and posters

Once you have sent the email to the parents, we want to communicate with them in as many ways as possible.  Next steps:

  • Print the “Contact Handout” notification sheets, and a handout that the schools can post to remind parents to view and order their portraits. You find this report in the event menu.
  • Use pre-printed “Your Portraits are Ready to Order” flyers – write in the Order due date.  OR  make “Portraits Ready” signs. You can use template here (on Google Shared Drive):  Portraits Ready Sign (down load file to your computer, open in Photoshop, edit the text layers) or

*Make sure all subjects have emails. If it is not a sign up session then be sure to get and input the subjects email address. 

Director communication

Send the “Director Proofs Posted Email”

Again, you want to communicate with the parents on as many levels as you can to get the word to them!  People live in a very busy, busy world!  In addition to the email notification, the paper handout, portraits are ready sign, also have the director communicate that the portraits have been posted and make them aware of the order due date.

  1. In EZGo, go to the Event Link
  2. Select your event
  3. Select the “Send Email” Button
  4. Select the template “Director Proofs Posted Email”
  5. You may edit this email, if desired.
  6. Click Send
    1. This sends an email to the director.
  7.  This email also automatically sends the director a list of all of the access codes.
